Refund Policy

Last updated: May 1, 2026

1. Overview

This Refund Policy explains how refunds, cancellations, and subscription changes are handled for Clariflow, a software-as-a-service platform for organizing client workflow, session notes, uploads, appointments, feedback, follow-ups, and progress-related information.

By purchasing a Clariflow subscription, you agree to this Refund Policy along with our Terms of Service and Privacy Policy.

2. Subscription Billing

Clariflow is offered as a recurring subscription. Your selected plan determines your active client capacity. All plans include the full Clariflow workspace, and plan pricing is shown on the Pricing page.

Subscriptions renew automatically unless cancelled before the next renewal date through the available subscription management options or payment provider support.

3. Payment Provider

Payments are processed by Paddle, our payment provider and Merchant of Record. Paddle may handle payment processing, taxes, invoices, subscription renewals, cancellations, and payment-related support.

Refund requests may be reviewed by Clariflow and/or Paddle in accordance with applicable laws, Paddle buyer terms, and this Refund Policy.

4. Refund Eligibility

Because Clariflow is a digital software subscription, payments are generally non-refundable once a subscription period has started, except where required by law or where a refund is approved at our discretion.

We may consider refund requests in limited situations, such as:

  • A duplicate charge occurred.
  • A billing error occurred.
  • You were charged after cancellation due to a processing issue.
  • The service was materially unavailable due to our error.
  • Applicable consumer protection law requires a refund.

5. Non-Refundable Situations

Refunds are generally not provided for:

  • Unused time during an active subscription period.
  • Failure to cancel before a renewal date.
  • Change of mind after purchasing.
  • Not using the service after purchase.
  • Choosing a plan with more active client capacity than needed.
  • Issues caused by incorrect account, email, or billing information.

6. Cancellations

You may cancel your subscription using the account or subscription management options made available through Clariflow or Paddle. Cancellation stops future renewals but does not automatically refund charges already paid for the current subscription period.

After cancellation, your access may remain available until the end of the paid billing period unless otherwise stated or required by law.

7. Plan Changes

If you change plans, billing adjustments may depend on the timing of the change and the payment provider's subscription rules. Upgrades, downgrades, and active client capacity changes may be handled through the subscription management system.

8. How to Request a Refund

To request a refund, contact us at support@clariflowapp.com with your account email, order information, and reason for the request.

Refund requests should be submitted as soon as possible after the charge. We may request additional information to verify the account or transaction.

9. Processing Time

If a refund is approved, processing time may vary depending on the payment method, bank, card issuer, and payment provider. Approved refunds are usually returned to the original payment method where possible.
